AI only does your work well once it knows your business

Every organisation holds an enormous amount of knowledge: in systems, in manuals, on SharePoint and in the heads of experienced colleagues. But rarely structured, rarely current, and almost never fully mapped. Knowledge Mapped makes that job manageable: all your knowledge ordered, with a route to connect it to AIStudio step by step.

How we order knowledge

Four layers where company knowledge sits.

1

Data in systems

Accounting package, CRM, project software, case archive. Live and updated daily. Connected through connectors.

2

Public professional knowledge

Laws and regulations, standards, industry manuals. From NEN standards and the Dutch building decree to tax guidelines. Opened up through the knowledge base, with a plan per source to stay current.

3

Your own documentation

Manuals, procedures, templates, “this is how we do it here”. Often scattered across folders and drives. Partly knowledge base, partly captured as a skill.

4

Knowledge in people’s heads

The years of experience your seniors carry: the judgement calls in grey areas, the pitfalls, the unwritten rules. In this project we decide which knowledge that is and what deserves priority.

How it works

This is how we map your knowledge.

Ask the whole company

A survey to all employees: where do they run into knowledge questions daily, which documents or people do they lean on. Plus the standing material: org chart, systems, existing knowledge bases.

Research where the work happens

A week to a week and a half of conversations with seniors, department heads and the people doing the work, and watching where the knowledge actually lives. Not where the org chart says it should live.

Working session with management

One to two hours of decisions: which knowledge gets priority, who becomes its owner, what needs cleaning up first.

Synthesis

One searchable inventory plus the route. Assessed per source: connector, knowledge base or skill, and what that needs from your side.

Review

The findings, the recommended route and the first sprint planning for the coming three months, presented to the group.

What you get

An overview you can work from.

The Knowledge Inventory

The complete overview in an editable table that you can keep maintaining yourself.

The Route

A phased twelve-month plan, per knowledge base, connector and skill, with scope, owner and timeline.

A management summary

Short enough for your board to decide on.

A list of things to watch

Sources that need cleaning up first, open ownership questions, knowledge that still has to come out of people’s heads.

  • Timeline of three to four weeks
  • Includes research, working session and route

Works best once AIStudio is in production; the route connects one to one to the platform.
